Job Summary :



We are seeking a highly organized and proactive

Female Executive Assistant / Office Coordinator

to provide comprehensive support to the Managing Director and coordinate office operations. The ideal candidate will have excellent communication skills, a professional demeanor, and the ability to manage multiple priorities efficiently.

Key Responsibilities:



Plan, manage, and maintain the MD's calendar, appointments, meetings, and recurring tasks. Organize agendas, prepare action points, and ensure follow-up for meetings. Attend team meetings with the MD, prepare Minutes of Meetings (MOM), track and follow up on action items using FMS and checklists. Act as the "Follow-up Manager" across the company and Senior Leadership Team to ensure timely execution of decisions and tasks. Draft and circulate notes, emails, reports, and presentations with accuracy and clarity. Manage emails, documents, and communication on behalf of the MD, prioritizing critical matters. Handle travel bookings, logistics, and accommodation arrangements. Maintain and update company administrative systems. Coordinate and collaborate effectively with internal staff, clients, and suppliers. Build and maintain professional client relationships, ensuring high levels of satisfaction. Support the MD in day-to-day operations with discretion and confidentiality.

Qualifications & Skills:



Bachelor's Degree in Commerce (B.Com) or Post Graduate Diploma in Business Management (PGDBM). Professional fluency in English (both written and verbal). Strong knowledge of MS Office (Word, Excel, PowerPoint, Outlook). Excellent documentation, organizational, and time-management skills. Strong interpersonal and communication abilities. Proactive, detail-oriented, and able to handle multiple tasks under pressure. Must be available to work from office daily.
