An Executive Administrative Assistant provides high-level administrative support to senior leadership, ensuring smooth daily operations and helping streamline executive responsibilities. This role involves managing communication, scheduling, documentation, and office coordination, along with overseeing purchase activities and acting as a key point of contact between internal stakeholders and external partners. The Executive Administrative Assistant must demonstrate excellent communication skills, strong judgment, and exceptional time-management capability.
Key Responsibilities:
Executive & Administrative Support
Manage and prioritize calendars, appointments, and travel schedules for CEO/MD.
Organize and coordinate meetings, events, and conference calls, including logistics and agenda preparation.
Answer, screen, and redirect phone calls; take messages and follow up as required.
Welcome and engage with visitors, clients, and partners in a professional manner.
Draft, review, and manage internal and external communications, including emails, letters, and notices.
Send greetings and communication emails for employee birthdays and work anniversaries.
Manage incoming and outgoing mail, courier packages, and fax communications.
Documentation & Office Management
Maintain traditional and digital filing systems to ensure data accuracy, confidentiality, and accessibility.
Perform clerical and bookkeeping duties, such as invoice tracking and expense coordination.
Coordinate travel bookings, including flight tickets, hotel reservations, and transport arrangements for leadership and employees as needed.
Procurement & Purchase Coordination (End-to-End)
Handle full procurement cycle including vendor identification, quotation comparison, negotiations, purchase order generation, coordination, and delivery follow-ups.
Prepare and maintain purchase documentation, approvals, vendor lists, and payment trackers.
Coordinate with Finance, HR, and IT departments to ensure timely procurement and vendor settlements.
Track inventory and initiate purchase requirements based on departmental needs.
Collaboration & Support
Work closely with internal teams to ensure smooth operational workflows.
Prioritize and handle confidential information with discretion.
Support leadership with special assignments as required.
Required Skills & Qualifications
Bachelor's degree in Business Administration or related field preferred.
Minimum 2-5 years of experience in Executive Assistant or Administrative roles.
Strong written and verbal communication skills.
Excellent organizational skills with the ability to multitask and prioritize.
Proficiency in MS Office tools (Word, Excel, PowerPoint, Outlook).
Experience in travel coordination and vendor management preferred.
Ability to work independently with attention to detail, discretion, and professionalism.
