Role Overview
We are seeking a highly capable
Executive Assistant
with proven experience supporting senior leadership.
This role requires exceptional organisational skill, discretion, judgment, and the ability to manage complex schedules, sensitive information, and multi-layered priorities with calm efficiency.
This is a
high-trust position
for someone who thrives at the centre of leadership operations.
Key Responsibilities
A. Leadership Support & Calendar Management
Manage leadership calendars, meetings, and daily priorities
Anticipate scheduling conflicts and resolve them proactively
Prepare agendas, briefs, and materials in advance of meetings
B. Communication & Correspondence
Draft, review, and manage official correspondence on behalf of leadership
Act as the primary gatekeeper for internal and external communications
Maintain confidentiality of sensitive information at all times
C. Meeting & Documentation
Attend key meetings and capture accurate
minutes of meeting
Transcribe meeting audio and notes (manually or using AI tools)
Track decisions, action items, and follow-ups to closure
D. Coordination & Follow-Up
Follow up with team leads and stakeholders on commitments and deadlines
Maintain central tracking of leadership initiatives and tasks
Ensure timely execution of leadership directives
E. Administrative & Secretarial Functions
Handle document filing, records management, and compliance documentation
Coordinate travel, logistics, and event schedules
Maintain professional standards of documentation and office conduct
Qualifications & Skills Required
Minimum
3-5 years experience
as EA / Senior Admin / Secretary supporting leadership
Prior experience working directly with founders, directors, or senior executives
Formal
secretarial training
is a strong advantage
Excellent written and verbal communication skills
Strong organisational, time management, and multitasking abilities
High emotional intelligence and discretion
Strong computer proficiency (MS Office / Google Workspace, email, documentation tools)
