Job Description

1. Administrative & Executive Support



Manage and maintain the Director's calendar, appointments, meetings, and travel schedules. Coordinate and prioritize daily tasks to ensure smooth workflow for the Director. Draft, review, and manage correspondence, emails, reports, and presentations on behalf of the Director. Handle confidential and sensitive information with professionalism and discretion.

2. Meeting Coordination



Schedule, organize, and prepare materials for meetings, conferences, and reviews. Record minutes, follow up on action items, and ensure timely completion of tasks. Liaise with internal teams for agenda preparation and documentation.

3. Communication & Coordination



Serve as the primary point of contact between the Director and internal/external stakeholders. Communicate directives clearly and ensure implementation by relevant departments. Manage phone calls, inquiries, and requests efficiently.

4. Office & Project Management



Assist the Director in monitoring ongoing projects and timelines. Track deliverables, generate status reports, and highlight pending tasks. Coordinate with cross-functional teams for updates, approvals, and communication.

5. Travel & Event Management



Plan official trips, including travel tickets, hotel bookings, logistics, and itineraries. Assist in organizing corporate events, workshops, and official meetings.

6. Documentation & Reporting



Maintain filing systems, both digital and physical. Assist in data collection, preparing MIS reports, and presentation materials. Ensure proper documentation for approvals, expenses, and records.

7. Director Assistance



Provide day-to-day operational assistance to the Director. Anticipate the Director's needs and proactively help in problem-solving. Support in decision-making by gathering relevant information and preparing briefs.

8. Professionalism & Confidentiality



Uphold company values, maintain confidentiality, and work with a high level of professionalism. Represent the Director in communication when required.
