POSITION SUMMARY This role will be acting as an EA to Director HR India and will coordinate and manage executive scheduling, prepare and organize important personnel related and strategic materials and plans, and support leadership meetings and the preparation of relevant materials for such meetings. This role serves as the eyes and ears for the Director HR, connecting organizations, projects, and critical business information to the Director HR, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the people priorities of the business. The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the Director HR\'s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Leadership Team, managers and members that report to the Director HR. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, personnel and institutional information while exercising professionalism and discretion. DIMENSIONS: Providing overall administrative support to HR Director India. PRINCIPAL ACCOUNTABILITIES This position is accountable for the following end results: Provides direct administrative support to the Chief Human Resources Officer Supporting in various activities for onboarding and during exits of employees. Coordinating for travel and responsible for the reimbursement of expenses in Concur. Hands on experience on Microsoft office with good analytical skills (Word, Excel and Power point). Provide a regular analysis and monthly updates on various activities Verification and coordination related to various travel accessories (CC/Visa) Calendar Management and overall office administration activities. Excellent communication skills with fair understanding about Outlook Flexible with the working schedules and ready to extend the support based on the business needs. Should have experience in managing / assisting leadership . Responsible for managing the coordination of HR Leaders travelling to India, manage travel itineraries and liaison with service providers and admin teams as required. Responsible for managing preparedness for HR Leadership sessions ensuring all logistics are taken care of and planned well. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. MINIMUM REQUIREMENTS AND QUALIFICATIONS 4-8 years of Exp in Secretarial and have experience on travel management, coordination between different department. Must have excellent verbal and written communication skills. Flexible to work as per the business requirements. Supporting leader in different time zones Graduation from recognized university . Advanced Microsoft Office and PowerPoint Skills. Excellent organizational and time management skills. Detail oriented, dependable and able to handle multiple priorities with a high degree of flexibility. Self-motivated and ability to anticipate needs of executives. Ability to maintain confidentiality is crucial to the success of this position.
