We are seeking a highly organized and trustworthy Executive Assistant to support the Director. You will act as the central point of contact for the Director's office, managing schedules while handling critical back-office functions like invoicing, basic accounting, and HR documentation.
Key Responsibilities:
Executive Support:
Manage the Director's calendar, book travel, and coordinate meetings. Act as the primary scheduler for lining up candidate interviews.
Financial Administration:
Handle invoicing cycles--create invoices, follow up with clients for payments, and process payments for partners/freelancers.
HR Coordination:
Maintain daily attendance logs, track leaves, and prepare data for payroll. Process team reimbursement claims.
Reporting:
Create weekly reports on accounts receivable/payable and HR status using Excel.
Office Operations:
Maintain filing systems and manage office supplies/inventory.
Mandatory Skills:
Excel Proficiency:
Must be comfortable creating reports and managing data in MS Excel.
Communication:
Fluent written and verbal English is non-negotiable.
Professionalism:
High regard for confidentiality and professional etiquette.
