We are seeking a highly organised, proactive, and discreet Executive Assistant to provide comprehensive administrative and operational support to the Director. The ideal candidate will ensure smooth day-to-day functioning by anticipating needs, managing priorities, and maintaining complete confidentiality.
This role demands professionalism, emotional intelligence, and the ability to work independently while ensuring the Director's time and focus are optimized for strategic priorities.
Key Responsibilities
1. Calendar & Scheduling Management
Organize and manage the Director's calendar, meetings, and appointments.
Anticipate scheduling conflicts and resolve them efficiently.
Coordinate with internal teams and external stakeholders for meetings and reviews.
2. Communication & Correspondence
Handle calls, emails, and messages on behalf of the Director with discretion and clarity.
Draft, proofread, and manage correspondence, reports, and presentations.
Maintain a professional tone in all internal and external communications.
3. Administrative & Operational Support
Prepare meeting agendas, minutes, and follow-up trackers.
Coordinate travel plans, itineraries, and related logistics.
Oversee timely completion of approvals, documentation, and key deliverables.
Maintain records, reports, and confidential information systematically.
4. Liaison & Coordination
Serve as the primary point of contact between the Director and teams, clients, and vendors.
Ensure alignment and timely communication across departments.
Follow up on pending actions and ensure commitments are met.
5. Personal Assistance (as required)
Assist in managing personal schedules, appointments, and errands when needed.
Ensure a balance between professional and personal commitments of the Director.
6. Professional Conduct
Exercise high discretion, integrity, and professionalism in all dealings.
Demonstrate emotional intelligence, judgment, and the ability to handle sensitive matters with care.
Create a seamless working environment that allows the Director to operate at maximum efficiency.
Requirements:
Bachelor's degree preferred.
3-6 years of experience as an Executive Assistant, Secretary, or in a similar role supporting senior management.
Exceptional organizational and multitasking skills.
Excellent written and verbal communication in English.
Proficient in MS Office Suite, Google Workspace, and other productivity tools.
High degree of confidentiality, composure, and attention to detail.
Compensation
?35,000 - ?45,000 per month (based on experience) + performance-linked incentives.
