Position Summary:




Act as an Executive Assistant to the Vice President - Region India for supporting key priorities, and ensuring seamless coordination across internal and external stakeholders. This role involves managing day-to-day operations, leading specific initiatives, and working independently with limited supervision, while maintaining strong communication with the leadership.


The person needs to be self-driven, motivated and willing to go above and beyond the requirements.

Essential Functions / Key Areas of Responsibility



Provide support to Vice President - Region India office , plan travel , organize meeting with internal and external parties as directed. Manage the Vice President's calendar, communications, and travel arrangements (domestic and international) with precision and confidentiality. Lead external engagement by coordinating confidently with government of India, industry bodies, suppliers and partners, government officials, and other key stakeholders to foster partnerships and business opportunities. Oversee day-to-day operations, ensuring smooth execution of responsibilities within the Vice President's scope. Manage multiple projects and processes independently, ensuring timely delivery with limited supervision. Establish and implement process rhythm to assess the progress on various initiatives by working closely with internal stakeholders. Communicate effectively with leadership and key stakeholders to facilitate information flow and operational alignment. Coordinate site-level leadership reviews, external visits, and strategic events end-to-end. Build strong internal relationships across business units and functional teams to foster collaboration and drive initiatives. Support the business in preparing reports, presentations. Proactively follow up with departments to ensure completion of tasks and deliverables. Organize logistics for meetings, conferences, and customer visits, ensuring professionalism and smooth execution. Support development of dashboards and KPIs to track strategic goals and support data-driven decisions.

Minimum Requirements: Experience in working with government departments, Education, Technical/Specialized Knowledge



Strong ethical and compliance driven mindset Ability to manage multiple priorities and work under pressure Excellent communication and interpersonal skills Ability to forge relationship internally in matrixed global cross functional environment Build relationship with customer, partners and other external stakeholders to advance business objectives. Organizational and time management skills with great attention to detail Problem-solving and decision-making abilities High level of discretion, confidentiality, and professionalism Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) Strong facilitation and coordination skills.

Experience:



10-15 years of relevant experience in executive support roles with multinational companies Experience working with government, public sector units. Proven track record of managing day to day activities of senior country executives

Technical / Specialized Knowledge:



Preferred: Knowledge of defense industry, aerospace, aviation, cyber and digital Experience with MIS/reporting tools and data analysis

Preferred Qualifications & Certifications



Bachelor's degree in Business Administration, Management. MBA or equivalent postgraduate qualification preferred

Languages



Proficient in English (written and verbal) - mandatory Knowledge of Hindi
