We are seeking an organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to the executive team. The ideal candidate will be a multitasker with excellent communication skills, capable of managing multiple priorities and providing exceptional support in a fast-paced environment.
Key Responsibilities:
Calendar Management:
Coordinate and maintain executives' schedules, ensuring effective time management and prioritization of tasks.
Travel Coordination:
Organize domestic and international travel arrangements, including flights, accommodations, and transportation.
Communication Management:
Handle incoming communications, including emails, phone calls, and mail. Respond on behalf of executives when necessary.
Meeting Support:
Prepare agendas, take meeting minutes, and follow up on action items. Assist with virtual and in-person meeting logistics.
Document Management:
Prepare and edit documents, presentations, and reports. Maintain confidential and sensitive information with discretion.
Project Coordination:
Assist with or lead special projects, ensuring tasks are completed within deadlines.
Client and Vendor Relations:
Act as a liaison between the executives, clients, vendors, and other internal teams.
Office Management:
Oversee day-to-day office operations and maintain a well-organized office environment.
Required Qualifications:
Bachelor's degree or equivalent experience.
Proven experience as an Executive Assistant or in a similar role supporting senior management.
Exceptional organizational and time-management skills.
Strong verbal and written communication abilities.
High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to work independently and as part of a team.
Discretion and confidentiality in handling sensitive information.
