Overview
We are seeking a proactive and detail-oriented Executive Assistant to support the VP-Engineering and the broader COM team. This role involves high-level administrative support, contractor and resource management, travel coordination, data handling, and cross-functional collaboration. The ideal candidate will be organized, tech-savvy, and capable of managing multiple priorities efficiently.
Responsibilities
Roles and Responsibilities:
1. Executive SupportManage and optimize the VP-Engineering's calendar, including scheduling meetings, appointments, and reminders. Handle expense reporting and reimbursement processes for the VP-Engineering.

2. Contractor & Resource ManagementAssist in contractor onboarding/offboarding and maintain accurate records. Support resource planning and allocation for the COM team. Track and manage contractor data, including timesheets, contracts, and compliance documentation.

3. Travel & Logistics CoordinationOrganize domestic and international travel for all staff, including flight and hotel bookings. Ensure travel arrangements align with company policies and budget. Maintain travel records and assist with visa and itinerary documentation.

4. Data & ReportingMaintain and update contractor employee databases. Compile and send monthly travel and purchase card summaries to the Accounts Payable (AP) Team within the 2nd or 3rd week of each month. Ensure data accuracy and timely submission of reports.

5. Event CoordinationPlan and execute internal events, meetings, and team-building activities. Coordinate logistics, venue bookings, catering, and communication for events.

6. Cross-Functional CollaborationLiaise with internal departments such as Finance, HR, Procurement, and IT to ensure smooth operations. Act as a point of contact for cross-functional initiatives and communications.

7. Supporting customer visits and other ad hoc tasksAssist in coordinating and facilitating customer visits, including logistics, scheduling, hospitality, and documentation. Provide support for miscellaneous tasks as required by leadership or business needs.

Qualifications
Qualifications & Skills:Bachelor's degree in Business Administration or related field. 5-8 years of experience in executive support or administrative roles. Strong organizational and multitasking skills. Proficiency in MS Office Suite (Excel, Outlook, PowerPoint) and travel management tools. Excellent communication and interpersonal skills. Experience with contractor or resource management tools is a plus.
