The Executive Assistant will provide high-quality executive administrative support to the Head of Business Solutions International. This role involves managing, planning, coordinating, and communicating administrative and organizational assignments with a high business impact. The Executive Assistant will act as an active business partner, ensuring productivity through routine administrative activities as well as non-routine activities and special projects.
About the Role
Key Responsibilities
Manage complex calendars, schedule meetings, and coordinate logistics across global time zones
Prepare high-quality presentations, reports, and correspondence for internal and external stakeholders
Handle confidential information with discretion and maintain professional integrity at all times
Organize travel arrangements, including visas, accommodations, and detailed itineraries
Support expense reporting, invoice processing, and budget tracking activities
Act as a liaison between executives and internal/external partners
Coordinate team events, offsites, and leadership meetings end-to-end
Monitor and prioritize incoming communications, ensuring timely responses
Maintain organized filing systems and ensure document accuracy and accessibility
Proactively identify opportunities to improve administrative processes and team efficiency
Essential Requirements
Proven experience as an executive assistant or in a similar administrative support role
Strong organizational and time-management skills with the ability to multitask effectively
Excellent verbal and written communication skills in English
Proficiency in Microsoft Office Suite and virtual collaboration tools
Ability to handle confidential information with discretion and professionalism
Demonstrated initiative and problem-solving capabilities
Experience coordinating travel, meetings, and events across multiple time zones
High attention to detail and commitment to delivering quality work
Desirable Requirements
Experience supporting senior leadership in a global or matrixed organization
Familiarity with project coordination or basic knowledge of business operations
