As we expand, the Founder's time and attention need to be channelled towards strategic initiatives, high-level partnerships, and visionary leadership. The Executive Assistant will serve as the
operational right hand
, ensuring smooth execution, communication, and follow-through on key priorities.
Role Summary
The Executive Assistant (EA) will work directly with the Founder to manage schedules, coordinate initiatives, follow up on deliverables, and act as the first line of organisation for high-priority projects. The role requires
discretion, strong organisational skills, the ability to anticipate needs, and the initiative to solve problems before they arise
.
This is not a purely administrative role--it is a
strategic support function
designed to free the Founder's bandwidth and ensure that plans move to completion without gaps.
Key Responsibilities
1. Founder Support & Schedule Management
Manage and optimise the Founder's calendar, prioritising high-impact activities
Schedule and coordinate meetings, ensuring all materials are ready in advance
Anticipate scheduling conflicts and proactively suggest solutions
Ensure punctuality and time efficiency for all Founder commitments
2. Meeting Documentation & Transcription
Attend internal and external meetings to
capture accurate minutes
Prepare structured meeting summaries for easy reference and follow-up
Transcribe meeting audio or notes, either manually or using AI tools, ensuring accuracy and completeness
Maintain a secure, searchable archive of meeting records
3. Project Coordination & Follow-Up
Track ongoing initiatives and ensure follow-up on all Founder-led projects
Maintain accountability by following up with team members on deadlines and deliverables
Break down large projects into manageable tasks and monitor completion
4. Communication & Information Management
Draft, review, and manage correspondence on behalf of the Founder
Serve as the first point of contact for internal and external stakeholders
Maintain confidentiality while managing sensitive information
5. Operational Support
Coordinate with different departments (sales, marketing, operations, therapy teams) for smooth information flow
Assist in the preparation of reports, presentations, and meeting briefs
Support event coordination for webinars, trainings, and public engagements
6. Research & Strategic Input
Conduct background research to support decision-making
Provide summaries, recommendations, and data insights for upcoming meetings or projects
Monitor key industry trends relevant to IND's mission
Required Skills & Qualifications
Bachelor's degree; Master's preferred in business, communications, or related field
3+ years experience as an EA, Chief of Staff, or operations/project coordinator
Exceptional organisational and time-management skills
Strong communication skills in English; Bengali proficiency a plus
Proficiency in transcription methods--manual and AI-assisted
Tech-savvy--comfortable with CRM tools, Google Workspace, and productivity apps
High emotional intelligence, discretion, and problem-solving ability
Ability to handle multiple priorities in a fast-paced, mission-driven environment
Preferred (Not Mandatory)
Experience in healthcare, education, or non-profit sectors
Exposure to event management or stakeholder engagement
Familiarity with therapy/child development space
