Role Summary

This role ensures the MD\'s time is aligned with their priorities through a demonstrated understanding of the core business and leveraging expert prioritization strategies. Manage a dynamic meeting schedule over multiple time zone daily and constantly.

This role acts as a trusted partner to the entire leadership team and has a significant place in the day-to-day running of the MD\'s office.

Supporting the complex project management, the EA to the MD will pull together priorities, follow up on action points, and undertake and execute the project on a regular basis.

Key Accountabilities:

  • Provide sophisticated calendar management for MD. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Complete a broad variety of administrative tasks that facilitate the MD\'s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists
  • Serve as the primary point of contact for internal and external contact on all matters pertaining to the MD, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgement to reflect MD\'s style and organization policy
  • On a daily basis to provide the MD with a \'briefing pack\' setting out the priorities for the day, schedule of meetings, and all appropriate papers and highlighting any information or emails of an urgent nature
  • Support the engagement of colleagues and act as a point of contact for initiatives.
  • Arrange and handle all logistics for meetings and events, including scheduling the annual calendar of meetings and booking of venues.
  • Work closely with the MD to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the MD updated. Anticipate MD\'s needs in advance of meetings, conferences, etc.
  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the MD and staff, demonstrating leadership to maintain credibility, trust, and support with the leadership Team.
  • Follow up on contacts made by the MD to cultivate ongoing relationships.
  • Arranging complex multi-location travel, visas and accommodation.
  • Carrying out background research and presenting findings;
  • Fulfilling certain legal requirements for the company such as government reporting, contract management, and intellectual property management.

  • Positive relationship management skills and the ability to effectively interact with a diverse set of partners
  • Proven experience of high-level executive support gained over numerous years working in a global organisation.
  • Self-starting initiative; to anticipate the needs of executives and plan for them.
  • Experienced in making appropriate, informed decisions regarding priorities
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
  • The ability to be discrete and work appropriately with confidential and sensitive information
  • The ability to work under pressure and to tight deadlines and can react at the last minute
  • High level of resilience to deal with change and ambiguity
  • Flexibility and adaptability to juggle a range of different tasks and dedication to the job to ensure that deadlines are met and challenges resolved.
  • Exceptional written and oral communication skills;
  • Excellent IT skills, including knowledge of a range of software packages.
  • Research mindset to digest, analyse and present material clearly and concisely to an executive audience.
  • Efficient project management skills with a dedication to the quality and accuracy of projects from inception to completion.
  • High EQ with the ability to work collaboratively and bring people together towards common goals using strong personal influencing skills
  • A robust nature, and the ability to thrive in a fast-paced environment, to think creatively, and produce innovative solutions
  • Leverage talents as a masterful problem-solver and a strong organizational force to manage complex challenges
