Role Overview
We are seeking a highly proactive and efficient Executive Assistant (EA) to serve as the "voice" of the Managing Director. This is not a conventional EA role; we are looking for a candidate who functions with high-speed efficiency and professional dedication. The primary objective is for the EA to manage all operational tasks, research, and follow-ups, allowing the MD to focus exclusively on strategic thinking and decision-making.
Key Responsibilities
1. Task Delegation & Relentless Follow-Up
? Voice of the MD: Communicate tasks to the team on behalf of the MD, ensuring the staff understands that your instructions carry the MD's authority.
? Commitment Tracking: Obtain specific dates and times for task completion from staff members and enter them into a Delegation Sheet.
? Active Monitoring: Follow up on the exact committed time to verify completion.
? Issue Reporting: Immediately report any lack of cooperation or "smart" behavior from employees directly to the MD.
2. Communication
? Professional Drafting: Prepare official letters, emails, and documentation with a high standard of English.
? Call Handling: Manage forwarded calls and provide specific responses as instructed by the MD.
3. Data & Research
? Excel Management: Handle data using advanced functions such as Pivot Tables, VLOOKUP, and sheet linking.
? Web/AI Research: Conduct deep-dive Google/Gemini/ChatGPT searches and provide summarized reports or printouts for the MD to review.
4. Personal & Administrative Assistance
? Personal Tasks: Coordinate personal requirements for the MD, including booking tickets, dinner reservations, etc.
? Logistics: Coordinate with the office runner boy for the execution of administrative tasks.
Candidate Requirements
Experience & Education
? Background: 3-5 years of steady experience as an assistant or secretary to a Managing Director.
? Alternative Experience: Candidates with strong experience as an office coordinator in admin and coordination will be considered.
? Education: Must be a graduate from a secretarial college.
? Stability: A track record of job stability is essential; we will not consider candidates who jump jobs often.
Skills & Attributes
? Follow-Up Skills: Exceptional follow-up skills are the most critical requirement. This is a non-negotiable skill set.
? Technical Literacy: Working knowledge of MS Office (Word and Excel) and effective Google/Gemini/ChatGPT research techniques.
? Integrity: High level of honesty and integrity.
? Proactivity: Ability to take responsibility and get work done through others.
Additional Criteria
? Personal Status: Preference for candidates who are married and have children.
? Logistics: Must reside within a 45-minute traveling distance from the office.
? Flexibility: Must be fully open to handling both professional and personal tasks of the MD.
Compensation
? Salary Range: depending on experience and performance in the skill test.
Working Days | Monday to Friday: 8:30 am - 5:30 pm | Saturday & Sunday: Closed
