We are looking for a
highly reliable, sharp, and execution-focused Executive Assistant
to work
directly with the Managing Partner
and act as the central coordination and control point of the business.
Role Overview
This is a
high-impact, high-responsibility role
. You will act as the
right hand to the Managing Partner
, helping manage priorities, follow-ups, communication, internal coordination, and execution across teams, vendors, and customers.
You will not just manage schedules -- you will
help run the business day-to-day
.
Key Responsibilities
1. Managing Partner Support
Manage calendar, meetings, travel, and daily priorities of the Managing Partner
Prepare agendas, notes, summaries, and action-point trackers
Ensure critical follow-ups are never missed
Act as gatekeeper and priority filter for meetings, calls, and requests
2. Business Coordination & Execution
Coordinate between factory, merchandising, accounts, logistics, and sales teams
Track orders, sampling, production timelines, dispatch schedules, and approvals
Follow up with internal teams and external vendors/customers for pending actions
Maintain master trackers, dashboards, and status reports
3. Communication & Documentation
Draft and manage professional emails, proposals, internal instructions, and summaries
Maintain organized digital files, contracts, reports, and business documents
Prepare presentations, reports, and business reviews
4. Operations & Process Control
Ensure decisions taken in meetings actually get executed
Monitor deadlines, commitments, and deliverables across the organization
Help build systems, SOPs, and structured workflows
Act as a "control tower" for ongoing projects
5. Confidential & Strategic Support
Handle sensitive information with full confidentiality
Assist in business planning, expansion projects, and special initiatives
Represent the Managing Partner in internal coordination where required
Who We're Looking For
Highly organized, detail-oriented, and extremely reliable
Strong written and spoken English communication skills
Excellent follow-up and execution mindset (not just planning)
Very comfortable with Excel / Google Sheets / Docs / Email / WhatsApp / basic tech tools
Able to handle pressure, multiple priorities, and fast-changing business needs
Mature, professional, discreet, and trustworthy
Preferred Background
2-6 years experience as Executive Assistant, Operations Manager, Project Coordinator, or similar role
Experience in manufacturing, export, operations, or fast-paced businesses is a big plus
MBA / Graduate in Management, Commerce, or Engineering preferred but not mandatory
