Prioritize and coordinate scheduling conflicts.
Send reminders and maintain time efficiency.
2. Communication & Correspondence
Handle emails, phone calls, and messages on behalf of the executive.
Draft, review, and send professional communication.
Act as the point of contact between the executive and internal/external stakeholders.
3. Meeting Coordination
Schedule and organize meetings, video conferences, and events.
Prepare agenda, minutes, and follow-up action points.
Ensure timely sharing of meeting materials and documents.
4. Travel & Logistics Management
Plan domestic and international travel.
Handle ticketing, accommodation, travel itineraries, and reimbursement claims.
Ensure smooth end-to-end travel support.
5. Document & Data Management
Prepare reports, presentations, and spreadsheets.
Maintain digital and physical filing systems.
Ensure confidentiality of sensitive documents.
6. Task & Project Coordination
Assist in project tracking, deadlines, and deliverables.
Coordinate cross-team activities to support executive initiatives.
Follow up on pending tasks with team members.
7. Office & Administrative Support
Organize and maintain office supplies and executive requirements.
Assist in vendor coordination for office needs.
Manage expense tracking and budgeting support.
8. Confidentiality & Professionalism
Maintain strict confidentiality at all times.
Represent the executive with high professionalism and discretion.
9. Relationship Management
Build strong relationships with internal departments and external partners.
Support in stakeholder communication and coordination.
10. Executive Personal Support (If Required)
Assist in personal appointments, events, or errands (as pre-approved).
Manage personal calendars when needed.
