The Executive Assistant to the Managing Director provides high-level administrative, organizational, and strategic support to ensure the MD's time, priorities, and communications are managed effectively. This role requires discretion, strong judgment, and the ability to operate in a fast-paced, senior leadership environment.
Key Responsibilities
Executive Support
Manage the MD's calendar, scheduling meetings, travel, and appointments
Act as the primary point of contact between the MD and internal/external stakeholders
Prepare agendas, presentations, reports, and briefing materials
Screen and prioritize emails, calls, and correspondence
Business & Strategic Support
Track key initiatives, deadlines, and action items on behalf of the MD
Assist with board, leadership, and client meetings (coordination, minutes, follow-ups)
Conduct research and compile data to support decision-making
Support strategic projects as assigned
Communication & Coordination
Draft and edit professional communications on behalf of the MD
Liaise with senior executives, clients, partners, and vendors
Ensure smooth communication across departments aligned with MD priorities
Administrative & Office Management
Handle confidential and sensitive information with discretion
Process expenses, invoices, and documentation for the MD
Support event planning, offsites, and executive travel logistics
Required Skills & Qualifications
Proven experience as an Executive Assistant or similar senior support role
Strong organizational and time-management skills
Excellent written and verbal communication abilities
High level of professionalism, discretion, and confidentiality
Ability to manage multiple priorities independently
Proficiency in Microsoft Office / Google Workspace
Strong problem-solving and decision-making skills
