Job Title: Executive Assistant to Managing Director
Location: Noida
Reporting To: Managing Director - Consortium Gifts Pvt. Ltd.
Job Summary:
The Executive Assistant will provide high-level administrative and communication support to the Managing Director. The role involves managing email correspondence, ensuring timely follow-ups, coordinating with internal teams and global partners, and maintaining smooth communication flow for the MD's office. The position demands strong organization, professionalism, and the ability to handle sensitive and time-critical matters with discretion.
Key Responsibilities:
1. Email & Correspondence Management
Track important communication and ensure timely follow-ups and closures.
Draft, review, and manage professional correspondence with clients, vendors, and partners.
Manage international communication -- emails, scheduling, and follow-ups across time zones.
2. Coordination & Follow-ups
Act as a point of contact between the MD and internal teams (Sales, Sourcing, Accounts, Logistics, HR, etc.).
Follow up with departments on pending tasks, project progress, and commitments made during meetings.
Prepare and maintain daily/weekly trackers and action reports for the MD's review.
Schedule meetings, prepare agendas, and document key discussions and action points.
3. Documentation & Reporting
Maintain organized digital records of correspondence, approvals, and key documents.
Prepare professional presentations, reports, and summaries as per the MD's requirements.
Support in compiling business data and MIS reports from various departments.
4. Global Communication & Coordination
Manage communication with overseas partners, clients, and suppliers.
Coordinate virtual meetings and follow-ups across international time zones.
Ensure timely and professional responses to all global correspondence.
5. Administrative Support
Manage the MD's calendar, appointments, travel schedules, and logistics.
Handle confidential matters and maintain discretion at all times.
Assist in planning and coordinating reviews, events, and business meetings.
Skills & Competencies:
Excellent written and verbal communication skills (English proficiency mandatory).
Strong sense of ownership, follow-up, and accountability.
Excellent organizational and multitasking abilities.
Proficient in MS Outlook, Word, Excel, and PowerPoint.
Professional email etiquette and attention to detail.
Ability to handle pressure and tight timelines with calm efficiency.
Qualification & Experience:
Graduate / Postgraduate in Business Administration, Communication, or relevant field.
2-5 years of experience as an Executive Assistant or similar role supporting top management.
Prior experience in managing international correspondence and coordination preferred.
