: Executive Assistant cum Manager

Overview



We are looking for a highly organised, proactive, and dependable Executive Assistant cum Manager to work closely with

the founder

. This role requires someone who can seamlessly blend administrative excellence with operational oversight, ensuring smooth functioning across meetings, communication, project coordination, and key business priorities.
The ideal candidate must be sharp, detail-oriented, comfortable in fast-moving environments, discreet, and able to represent the founder professionally.

Key Responsibilities:


1. Executive Support



Manage daily schedule, meetings, travel, and appointments with zero clashes. Prioritise tasks, filter communication, and ensure timely follow-ups. Prepare meeting briefs, talking points, recaps, and action trackers. Handle confidential information with complete discretion.

2. Operational & Team Coordination



Serve as the communication bridge between the founder and internal teams (design, production, marketing, finance). Ensure team updates convert into actionable deliverables with timelines. Monitor project progress, highlight delays, and ensure accountability. Attend internal meetings on behalf of the founder where required.

3. Client & Talent Liaison



Coordinate with high-profile clients, stylists, celebrities, and partners. Ensure smooth communication, appointment scheduling, and follow-up on fittings, deliveries, and event timelines. Support client experience by aligning with production and design teams.

4. Business & Creative Support



Assist the founder in project planning, launch timelines, and campaign execution. Support collection calendars, collaborations, store events, and special projects. Work with marketing teams to ensure brand-aligned communication and timely rollouts.

5. Documentation & Reporting



Maintain dashboards for weekly/monthly business progress. Track key metrics (sales, production status, brand projects). Organise files, contracts, invoices, and documentation across departments.

6. Finance Coordination



Liaise with finance for approvals, vendor payments, reimbursements, budgeting inputs, and reconciliations. Basic understanding of financial documents (POs, invoices, costing sheets, etc.).

Required Skills & Competencies



Strong organisational and multitasking ability. Excellent communication--written, verbal, and interpersonal. High level of professionalism, maturity, and discretion. Ability to anticipate needs and operate proactively. Strong follow-through and ability to drive outcomes. Problem-solving mindset with calmness under pressure. Tech-savvy: Google Workspace, Excel, basic project trackers, WhatsApp organisation, etc.

Experience & Background



4-7 years of experience as an EA/Chief of Staff/Project Manager/Operations Manager. Experience in fashion, luxury, media, entertainment, or lifestyle industries is a strong plus. Basic finance understanding preferred. Graduate degree required; MBA or relevant certification is an advantage.

Work Schedule & Location



Full-time role based in Mumbai. Requires flexibility for late evenings or weekends during shoots, events, and show periods. Travelling for work/collections/events may be required.

Pay: ?50,000.00 - ?60,000.00 per month
