We are seeking a highly dependable, detail-oriented, and proactive Executive Assistant to support the Managing Director (MD). This role requires exceptional communication skills, strong follow-up abilities, and the flexibility to be available 24x7 as per business needs.
The ideal candidate must be comfortable handling all personal and professional responsibilities of the MD with utmost confidentiality and must be willing to travel anytime and anywhere as required.
The candidate should be skilled in calendar and diary management, possess strong computer proficiency, and maintain high levels of honesty, discretion, and professionalism at all times.
Roles & Responsibilities -
Executive Support
Provide comprehensive administrative support to the MD.
Manage and prioritize the MD's calendar and daily diary, including scheduling, rescheduling, and coordinating meetings.
Ensure the MD is fully prepared for all meetings, presentations, and travel.
Maintain constant communication and availability to respond to urgent matters.
Look after
all personal and professional work
as required.
Communication & Coordination
Handle all email communications on behalf of the MD, including drafting, responding, and organizing.
Demonstrate excellent verbal and written communication skills when coordinating with internal teams, clients, and external partners.
Maintain strong follow-up on all pending tasks, ensuring deadlines are met and updates are shared promptly.
Coordinate admissions, appointments, and external engagements as needed.
Operational & Administrative Tasks
Prepare presentations, reports, and documents in MS PowerPoint, Word, and Excel.
Track key tasks, commitments, and deliverables for the MD and ensure timely completion.
Organize and maintain confidential files, records, and documents.
Oversee
filing and records management
for both personal and professional matters.
Coordinate travel plans, itineraries, accommodations, and logistics.
Accompany or assist with
travelling arrangements
when required.
General Support
Assist in planning and organizing events, meetings, and conferences.
Provide support on special projects and business initiatives as assigned by the MD.
Maintain a high level of professionalism, discretion, and confidentiality at all times.
Handle
personal work
with integrity and reliability.
Qualifications
Bachelor's degree or equivalent experience.
Minimum 1-5 years of experience as an Executive Assistant, preferably supporting senior leadership.
Strong proficiency in MS Office (Excel, Word, PowerPoint) and email management.
Excellent communication and interpersonal skills.
Ability to multitask, prioritize, and manage time effectively.
High flexibility and willingness to be available 24x7 as required.
