The Executive Assistant to the Managing Director will play a pivotal role in supporting the MD by managing schedules, facilitating communication, and ensuring the smooth operation of executive-level responsibilities.
Key Responsibilities
Manage and maintain the MD's calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize agendas, and presentations for meetings.
Act as the first point of contact for the MD, managing emails, and phone calls professionally.
Oversee and maintain confidential documents and files.
Act as a point of contact between the MD and other departments, facilitating communication and alignment.
Handle client interactions and maintain strong relationships with stakeholders.
Draft, review, and edit communications, including memos, emails, and reports.
Represent the MD in meetings, taking notes and ensuring follow-up actions are completed.
Coordinate with external parties such as vendors, clients, and partners whenever required.
Organize and oversee company events, client meetings.
Handle personal administrative tasks for the MD, including managing personal appointments, travels, as needed.
Required Qualifications and Skills
Bachelor's degree in Business Administration, or a related field.
Minimum of 2 years of experience as an Executive Assistant, preferably in the real estate or construction industry.
Exceptional organizational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in software like MS Office, PowerPoint.
Ability to handle sensitive and confidential information.
Strong problem-solving and critical-thinking skills.
