We are seeking a highly organized, proactive, and professional
Executive Assistant to the Managing Director (MD)
to provide high-level administrative, coordination, and communication support. The ideal candidate should possess strong organizational skills, excellent communication abilities, and the capability to manage confidential information while supporting day-to-day operations and strategic activities of the MD.
Manage and maintain the Managing Director's calendar, including scheduling meetings, appointments, and follow-ups.
Handle day-to-day administrative tasks and provide full secretarial support to the MD.
Maintain and organize office records, documents, and files (both physical and digital).
Manage client records and maintain accurate databases and reports.
Communication & Coordination:
Draft professional emails, letters, reports, and internal/external correspondence.
Act as a point of contact between the MD, clients, internal teams, and external stakeholders.
Ensure clear and timely communication across departments.
Handle calls, messages, and inquiries with professionalism and discretion.
Data, Reporting & Documentation:
Possess strong working knowledge of
MS Excel
for data entry, reporting, tracking, and analysis.
Prepare presentations, reports, and summaries for meetings and reviews.
Assist in preparing agendas, meeting notes, and action points.
Client & Meeting Management:
Coordinate meetings, conferences, and appointments, including logistics and documentation.
Assist in maintaining strong professional relationships with clients and partners.
Follow up on meeting outcomes and ensure timely completion of assigned action items.
Additional Responsibilities:
Support management in day-to-day operational and administrative activities.
Handle confidential and sensitive information with integrity and professionalism.
Perform other administrative duties as assigned by the management.
Required Skills & Qualifications:
Proficiency in
MS Excel, MS Word, PowerPoint, and Email tools

Excellent
verbal and written communication skills

Strong presentation and documentation skills.
Good organizational, time management, and multitasking abilities.
Ability to work independently and prioritize tasks effectively.
Professional attitude with attention to detail and accuracy.
Preferred (Added Based on Experience)
Basic understanding of business operations and reporting.
Ability to work under pressure and meet deadlines.
Knowledge of document management systems and office tools is an advantage.
Strong follow-up and coordination skills.
