Roles and Responsibilities of an Executive Assistant to the Director1. Administrative & Office Management
Manage the Director's daily calendar, appointments, meetings, and travel schedules.
Organize and prioritize incoming emails, phone calls, and correspondence.
Prepare, file, and maintain confidential documents and records.
Oversee office supplies, equipment, and administrative workflows.
2. Meeting & Event Coordination
Schedule, plan, and coordinate internal and external meetings.
Prepare meeting agendas, presentations, minutes, and follow-up action items.
Assist in organizing corporate events, workshops, and conferences.
3. Communication & Liaison Work
Serve as the primary point of contact between the Director and staff, clients, vendors, and stakeholders.
Draft and proofread official communications, letters, and reports.
Convey messages, decisions, and instructions on behalf of the Director.
4. Project Support
Assist in project planning, tracking, and coordination.
Collect and analyze data to prepare reports and summaries.
Monitor deadlines and ensure timely completion of assigned tasks.
5. Strategic & Operational Support
Provide administrative support for strategic initiatives and high-level decision-making.
Conduct research, compile information, and support presentations.
Help streamline processes to increase operational efficiency.
6. Financial & Budget Assistance
Support budget preparation, expense tracking, and financial reporting.
Process invoices, reimbursement requests, and vendor payments.
Maintain accurate financial records and documentation.
7. Confidentiality & Professionalism
Handle sensitive information with utmost discretion.
Ensure professional representation of the Director in all interactions.
Uphold company policies, governance, and ethical standards.
8. Travel & Logistics Management
Plan and coordinate domestic/international travel, including itineraries and accommodations.
Prepare travel expense reports and ensure compliance with policies.
9. Document & Presentation Preparation
Create high-quality PowerPoint presentations, spreadsheets, and documents.
Organize data for reports needed by the Director.
Maintain organized filing systems--digital and physical.
10. Personal Assistance (as required)
Assist the Director with personal tasks such as scheduling, errands, or travel.
Coordinate events and tasks related to personal commitments.
