Key Responsibilities:

Calendar Management:

Managing the Director's electronic calendar, scheduling appointments, and prioritizing meetings.

Meeting Coordination:

Organizing and coordinating meetings, including preparing agendas, taking minutes, and arranging logistics.

Correspondence Management:

Handling incoming and outgoing correspondence, including drafting emails, letters, and other documents.

Travel Arrangements:

Managing the Director's travel arrangements, including flights, accommodations, and itineraries.

Communication Liaison:

Acting as a point of contact for internal and external stakeholders, managing communication flow, and ensuring timely responses.

Project Support:

Assisting with special projects, conducting research, and preparing reports and presentations.

Confidentiality:

Maintaining strict confidentiality regarding sensitive information and acting with discretion.

Office Management:

Ensuring the smooth operation of the office, managing supplies, and handling administrative tasks.

Document Management:

Maintaining and organizing records, files, and documents.
Skills and Qualifications:

Excellent Communication Skills:

Strong verbal and written communication skills are essential for interacting with various stakeholders.

Organizational Skills:

Ability to manage multiple tasks, prioritize effectively, and meet deadlines.

Technical Proficiency:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is typically required.

Problem-Solving Skills:

Ability to identify and resolve issues independently and proactively.

Discretion and Confidentiality:

Ability to handle sensitive information with discretion and maintain confidentiality.
