We are looking for a

resourceful, detail-oriented, and proactive Executive Assistant

to partner with senior leadership and ensure seamless day-to-day operations. This role goes beyond traditional administration--it's about enabling executives to focus on strategic initiatives by anticipating needs, managing complex schedules, and streamlining operational workflows.

Key Responsibilities

Executive Support & Calendar Management


Own and manage dynamic executive calendars, prioritizing high-impact meetings and commitments.
Coordinate with internal and external stakeholders to optimize schedules and eliminate conflicts.
Anticipate scheduling needs, ensuring executives are always prepared with agendas, briefs, and relevant documents.

Travel & Logistics Management


Plan and coordinate end-to-end domestic and international travel, including flights, hotels, visas, and ground transport.
Prepare comprehensive itineraries and contingency plans for last-minute changes.
Ensure all travel complies with budget and company policies while balancing efficiency and comfort.

Operations & Office Administration


Act as a central point of contact for internal teams, partners, and external stakeholders.
Support operational needs such as vendor coordination, procurement, and office logistics.
Assist in planning and executing internal events, leadership offsites, and team workshops.

Meetings & Documentation


Organize and facilitate leadership meetings, including agenda creation, logistics, and follow-up.
Capture accurate and actionable minutes, track progress, and ensure accountability on deliverables.
Assist in preparing polished presentations, reports, and executive briefs.

Qualifications & Skills

Core Competencies


Proven experience managing executive schedules and high-stakes priorities.
Exceptional organizational and multitasking abilities with strong attention to detail.
Excellent written and verbal communication skills.
Advanced proficiency in Microsoft Office Suite, Google Workspace, and calendar/scheduling tools.
Professional discretion in handling sensitive and confidential information.
Strong interpersonal skills with the ability to build trust across teams and stakeholders.

Preferred Profile


Bachelor's degree in Business Administration, Management, or related field (preferred, not mandatory).
3-7 years of experience as an Executive Assistant, Chief of Staff (EA-track), or similar role.
Prior exposure to high-growth or fast-paced environments.
