Role Overview



The Operations Manager / Executive Assistant to Directors will play a pivotal role in ensuring smooth centre operations, supporting leadership, enhancing customer experience, and driving strategic growth initiatives. This position requires strong coordination, operational oversight, and stakeholder management skills in a healthcare or clinical setting.

Key Responsibilities



Administrative & Centre Operations Management



Oversee day-to-day centre operations, ensuring all departments (front desk, facilities, maintenance, and support services) function efficiently. Prepare and manage therapy schedules and appointment slots based on therapist availability and parent requirements. Coordinate closely with parents, therapists, support staff, Heads of Departments (HODs), and the admin team to ensure seamless operations. Identify, address, and resolve operational challenges while proactively improving workflows and processes.

Calendar & Meeting Management



Manage calendars for multiple HODs, ensuring effective scheduling of meetings, conferences, and calls. Resolve scheduling conflicts and ensure timely coordination and follow-ups.

Strategy & Growth



Use data-driven insights and KPIs (patient volume, satisfaction scores, and revenue metrics) to evaluate performance and improve operational policies. Provide strategic recommendations to management to enhance efficiency, service quality, and potential service expansion. Assess staff training needs and implement professional development initiatives, including workshops and on-the-job training. Support growth initiatives through marketing activities, community outreach, and patient engagement programs to strengthen the centre's visibility and reputation.

Compliance & Risk Management



Develop and implement risk management strategies to ensure the safety of staff and clients. Ensure adherence to healthcare regulations, internal policies, and ethical standards.

Customer Relations & Experience



Develop and implement customer service policies, processes, and training programs to maintain high service standards. Address customer inquiries, feedback, and complaints promptly, ensuring satisfactory resolution. Collect and analyze customer feedback to identify trends and proactively improve service quality. Act as the primary point of contact for key clients and high-priority cases, fostering strong relationships and personalized experiences. Organize customer-centric initiatives and events to promote services and encourage community engagement.

Financial Oversight & Cash Flow Management



Monitor and manage day-to-day cash flow operations of the centre. Maintain accurate records of expenses, payments, reimbursements, and petty cash. Track operational costs and prepare basic financial summaries and reports for management review. Coordinate with the accounts team for billing, invoicing, collections, and vendor payments. Ensure proper documentation and adherence to internal financial controls and audit requirements.

Requirements



Bachelor's or Master's degree in

Healthcare Management, Hospital Administration, Business Administration

, or a related field.

2-10 years

of experience in operations management, preferably in a hospital, clinic, or healthcare setting. Strong leadership, organizational, and problem-solving abilities. Excellent communication and interpersonal skills.

Pay: Up to ₹35,000.00 per month
