Key Responsibilities: Executive Support:
Manage and maintain the executive's calendar, schedule appointments, and coordinate internal/external meetings.
Handle travel arrangements, itineraries, visas, accommodations, and expense reimbursements.
Draft, review, and manage correspondence, presentations, and reports on behalf of the executive.
Ensure timely preparation of documents and materials for meetings and business reviews.
Track key projects, deadlines, and deliverables to ensure timely follow-up and completion.
Maintain confidentiality and handle sensitive information with discretion.
Communication & Coordination:
Serve as the primary point of contact between the executive and internal/external stakeholders.
Coordinate with senior leaders, department heads, and partners to ensure alignment on priorities.
Screen and prioritize calls, emails, and requests, ensuring effective communication flow.
Facilitate information sharing and assist in executive decision-making by providing background briefs and analysis.
Operational & Strategic Support:
Support business reviews, board meetings, and leadership presentations.
Prepare minutes, track action items, and follow up with stakeholders for updates.
Assist with special projects, research, and business reports as directed by the C-suite.
Coordinate with HR, Admin, and Finance for executive-level logistics and compliance.
Manage event coordination for leadership meetings, offsites, and conferences.
Qualifications & Experience:
Bachelor's degree required; MBA or equivalent preferred.
7-12 years of experience as an Executive Assistant or Senior Administrative Professional supporting C-level executives.
Experience in a corporate or multi-location business environment preferred.
Excellent written and verbal communication skills.
Strong proficiency in MS Office (Excel, PowerPoint, Outlook) and business tools (Teams, Zoom, ERP/CRM systems).
