Overview of the Position
To guarantee that the CEO's initiatives are carried out smoothly, the Executive Assistant (EA) will offer high-level administrative, operational, and strategic support. Excellent organizational abilities, discretion, professionalism, and the capacity to oversee several projects in a hectic setting are all necessary for this position. In order to facilitate efficient decision-making and maximize the CEO's time, the EA will serve as a reliable partner.
Important Duties
1. Executive Assistance & Management
Oversee, prioritize, and plan the CEO's travel, meetings, appointments, and daily calendar.
Create agendas, minutes, briefing materials, and presentations for meetings.
Maintain the utmost integrity when handling private information.
On behalf of the CEO, screen, oversee, and reply to emails and correspondence.
serve as the CEO's point of contact with both internal and external stakeholders.
2. Task and Project Management
Help with strategic project and initiative planning and oversight.
Keep departments informed about assignments, due dates, and deliverables.
Make reports and carry out research for company decisions.
Oversee unique tasks as assigned by the CEO.
3. Coordination of Stakeholders and Communication
Organize the CEO's communications with investors, partners, clients, and senior leadership.
Keep up solid business ties with important stakeholders.
Write reports, corporate documents, and formal communications.
4. Operational and Office Support
Plan conferences, board meetings, executive events, and travel schedules.
Keep both digital and physical filing systems well-organized.
Help the CEO's office with budgeting, tracking expenses, and processing reimbursements.
Essential Requirements
Teaching
a bachelor's degree in management, business administration, communications, or a similar discipline.
Expertise
two to five years of experience in an administrative manager, executive assistant, or comparable position.
It is preferred if you have experience assisting senior leadership.
Competencies and Skills
outstanding interpersonal and written communication abilities.
