Job Purpose



The Executive Assistant to the Director will provide high-level administrative, operational, and coordination support in a real estate environment. The role requires strong follow-up, cross-functional coordination (CRM, Legal, Finance, Projects, Purchase) and the ability to manage confidential information while ensuring smooth execution of strategic and operational priorities.

Key Responsibilities



1. Executive & Administrative Support

Manage the Director's calendar, meetings, site visits and travel arrangements

Act as a single point of contact between the Director and internal/external stakeholders

Draft, review, and manage official correspondence, emails, and documents

Prepare agendas, minutes of meetings (MoM), and track action items for closure

Maintain confidential records, approvals, and documents related to projects and customers

2. Real Estate Project Coordination

Coordinate with CRM, Purchase, Projects, Legal, Finance and Site Teams for updates on project status

Track possession schedules, handovers, customer escalations, and approvals

Follow up on payment statuses, legal documentation, registrations, and possession formalities

Assist in resolving customer issues and escalations under the Director's guidance

3. Management Reporting & MIS

Prepare MIS reports related to sales, collections, construction progress, possession, and customer grievances

Consolidate data from multiple departments and present summaries to the Director

Monitor timelines, commitments, and deliverables across projects

4. Communication & Follow-up

Screen and prioritize calls, emails and messages for the Director

Ensure timely responses and follow-ups on instructions given by the Director

Coordinate internal meetings, review meetings, and site review discussions

5. Compliance & Confidentiality

Handle sensitive customer, legal, and financial information with strict confidentiality

Ensure adherence to internal processes, approvals, and real estate compliance requirements

Maintain proper documentation for audits, legal references, and management review

6. Travel, Meetings & Events

Plan and coordinate site visits, customer meetings, and government office visits

Organize internal meetings, board meetings, and project review meetings

Strong team coordination and follow-up skills

Excellent verbal and written communication (English, Hindi, Marathi)

Ability to multitask in a fast-paced real estate environment

High level of integrity, discretion, and professionalism

Problem-solving and decision-support capability

Technical Skills



Proficiency in MS Office (Excel, Word, PowerPoint, Outlook) Experience with ERP systems Ability to prepare reports, dashboards, and presentations Educational Qualification Graduate / Postgraduate in any discipline Certification in Office Management / Business Administration is an added advantage

Preferred Profile



Prior experience supporting a Director / Managing Director / Senior Management Familiarity with RERA processes, possession workflows, and customer management
