Manage and prioritize the Director's calendar, meetings, appointments, and reminders.
Coordinate and schedule internal and external meetings, calls, and travel plans.
Anticipate the Director's needs and ensure all preparations are in place ahead of time.
2. Communication & Documentation
Draft, edit, and proofread professional emails, proposals, and internal/external communication on behalf of the Director.
Prepare presentation decks, reports, and briefs using MS Word, Excel, and PowerPoint.
Take accurate meeting minutes, follow up on action points, and ensure timely completion.
3. Operational & Administrative Tasks
Assist in project tracking, file organization, and follow-ups with internal teams and external partners.
Maintain records, confidential files, and key project documentation.
Handle personal and professional tasks with efficiency and discretion.
4. Tech-Savvy & Process Improvement
Leverage AI tools and digital productivity platforms (e.g., ChatGPT, Notion, Trello, Canva, etc.) to streamline tasks.
Stay updated on emerging technologies and recommend tools to improve workflow and productivity.
Assist with light research, content preparation, or digital tasks when required.
Key Requirements
Education:
Bachelor's degree in Business Administration, Communications, or a related field.
Experience:
1-3 years of experience in an Executive Assistant, Personal Assistant, or administrative support role.
Skills & Competencies:
Excellent written and verbal communication skills
- must be fluent in English.
Proficiency in MS Office Suite
- Word, Excel, PowerPoint is a must.
Highly organized with strong attention to detail and time management.
Street-smart, confident, and able to multitask effectively.
Quick learner, comfortable working with new technologies, AI tools, and digital platforms.
High degree of discretion and professionalism.
