We are looking for a smart, reliable, and highly organized
Executive Assistant
to support the CEO in managing daily operations of the
Construction & Project Department
. The role requires someone who understands the pace and complexity of real estate/construction projects and can seamlessly coordinate schedules, meetings, and project follow-ups while handling confidential matters with discretion.
Key Responsibilities:
Project Coordination Support
Track project timelines, milestones, and updates from project teams; assist CEO in monitoring construction progress and site performance.
Calendar & Schedule Management
Manage and prioritize the CEO's calendar with respect to site visits, vendor/client meetings, and internal reviews.
Meeting Preparation & Minutes
Schedule and coordinate internal/external meetings with project managers, architects, vendors, and contractors. Record minutes and follow up on actionable points.Draft professional emails, letters, and internal notes on behalf of the CEO. Handle calls and communication flow across departments and sites.Prepare presentations, reports, and summaries of construction project updates, budgets, and key issues.Organize travel itineraries for the CEO, especially for multiple site visits and client/vendor meetings.Handle sensitive documents and communications with high confidentiality and integrity.Coordinate with project engineers, admin staff, procurement, and external consultants to ensure seamless communication between the CEO's office and field operations.

2-4 years of experience as an Executive Assistant, preferably in a construction or real estate company.
Strong understanding of construction project terminology and coordination.
Excellent command of written and verbal communication.
High proficiency in MS Office (Excel, PowerPoint, Word), Google Workspace; knowledge of project tracking tools is a plus.
Ability to multitask, prioritize, and work under tight deadlines.
Bachelor's degree in Business Administration, Engineering, or related field preferred.

Strong interpersonal skills with the ability to work with cross-functional teams.
Discreet, dependable, and proactive in managing executive-level responsibilities.

Pay: ?35,000.00 - ?40,000.00 per month
