As an Executive Assistant to Director, you will be responsible for providing high-level administrative support to ensure smooth and efficient functioning of the Director's office. Your role requires discretion, strong organizational skills, attention to detail, and the ability to manage sensitive information with utmost confidentiality. You have to act as the first point of contact between the Director and internal/external stakeholders.
Key Responsibilities:
Administrative Support:
Manage the Director's calendar, appointments, and meetings.
Arrange domestic and international travel, accommodations, and itineraries.
Draft, edit, and proofread correspondence, reports, and presentations.
Communication & Liaison:
Act as a liaison between the Director and faculty, staff, students, and external partners.
Respond to phone calls, emails, and other communications on behalf of the Director.
Coordinate internal communications from the Director's office.
Office & Information Management:
Organize and maintain confidential files, records, and databases.
Track deadlines, tasks, and action items to ensure timely follow-ups.
Prepare agendas, take minutes, and coordinate follow-up actions for meetings.
Event & Logistics Coordination:
Assist in organizing events, conferences, workshops, and official visits.
Support hospitality arrangements for guests of the Director.
Strategic Support:
Assist the Director with project tracking, data collection, and report generation.
Conduct background research and summarize key points for decision-making.
Travel Support:
Accompany the Director on official travel as required, assisting with logistics, coordination, and representation during visits and events.
Qualifications & Skills:
Master's or Bachelor's degree (preferred in MBA, BBA, LLB or related field).
Minimum 2-3 years of experience in Administration or fresher with good percentage/CGPA.
Excellent written and verbal communication skills.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook); familiarity with digital collaboration tools.
Strong time-management and multitasking abilities.
Professional demeanour and confidentiality in handling sensitive information.
Ability to work independently and proactively in a dynamic environment.
