Role Overview
The Executive Assistant (EA) will provide strategic and administrative support to the Director overseeing multiple group companies. This position requires exceptional organizational capability, strong judgment, and the ability to manage complex cross-company schedules and priorities. The EA will serve as a trusted partner, ensuring effective time management, seamless communication, and professional representation of the Director's office.
Key Responsibilities
Executive & Calendar Management
Manage the Director's calendar across multiple businesses, ensuring alignment of priorities and seamless scheduling.
Anticipate conflicts, proactively reschedule, and optimize the Director's availability.
Prepare daily briefs, meeting packs, and supporting documentation.
Board & Meeting Coordination
Organize board meetings, reviews, and inter-company discussions across group entities.
Prepare agendas, briefing notes, presentations, and ensure accurate minutes of meetings.
Monitor action points and ensure timely execution by responsible stakeholders.
Communication & Liaison
Act as the single point of contact for internal and external stakeholders.
Draft, review, and manage high-level correspondence, reports, and presentations on behalf of the Director.
Represent the Director's office with the highest standards of professionalism.
Operational & Strategic Support
Support the Director in monitoring key initiatives, projects, and deadlines across companies.
Conduct research, compile business insights, and prepare executive summaries for strategic decision-making.
Liaise with senior leadership teams to ensure alignment and execution of directives.
Travel & Event Management
Coordinate national and international travel itineraries, logistics, and protocol.
Organize high-level events, client interactions, and strategic engagements.
Confidentiality & Documentation
Maintain and safeguard sensitive business and personal information.
Manage documentation, agreements, and records across group entities with strict confidentiality.
Qualifications & Experience
Bachelor's degree in Business Administration, Management, or related discipline (MBA preferred).
3-5 years of proven experience as an Executive Assistant, preferably supporting C-level executives in a group or multi-company environment.
Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration platforms (MS Teams, Zoom, Google Workspace).
Excellent written and verbal communication skills in English; strong drafting and presentation ability.
Demonstrated capacity to manage multiple priorities in a high-pressure, fast-paced environment.
Proven ability to exercise discretion, judgment, and diplomacy at the highest levels.
