Job Summary
The Executive Assistant to the Director will provide high-level administrative and operational support to ensure seamless management of daily business activities. This role requires exceptional communication skills, strong organizational abilities, professionalism, and the capacity to handle confidential information. The candidate will work closely with the Director to support project coordination, client interaction, vendor follow-ups, scheduling, and office operations in a fast-paced luxury retail and interior design environment.
Key Responsibilities
Administrative & Executive Support
Manage daily calendar, meetings, appointments, and travel arrangements for the Director
Draft and manage emails, documents, presentations, and reports
Maintain confidentiality of sensitive business information
Act as the single point of coordination between the Director and internal teams
Client Coordination
Handle client communication with professionalism and clarity
Coordinate schedules, follow-ups, and feedback for premium clients
Maintain customer records, meeting notes, and action points
Project & Operations Support
Assist in coordinating interior design and luxury retail projects
Follow up with vendors, suppliers, and internal departments
Prepare project documentation, material lists, timelines, and status updates
Ensure smooth coordination between design, sales, and operations teams
Retail & Store Support
Support the Director in showroom operations, visit planning, and client experiences
Assist in product research for lighting, automation, kitchens, furniture, and home theatre solutions
Maintain updated knowledge of premium brands and product lines
Reporting & Documentation
Maintain MIS reports, project trackers, and follow-up sheets
Prepare weekly and monthly business updates for management
Ensure proper documentation of meetings and task completion
General Office Coordination
Manage office communication, calls, and visitor handling
Supervise administrative tasks to ensure smooth operations
Qualifications & Skills Required
Bachelor's degree (preferred in Business Administration, Management, or related field)
3-7 years of experience as Executive Assistant / Personal Assistant / Coordinator
Experience in luxury retail, interior design, architecture, or real estate (highly preferred)
Exceptional written and verbal communication skills
Strong organizational and time-management abilities
Ability to multitask and handle senior-level responsibilities
Proficiency in MS Office (Word, Excel, PowerPoint) and digital communication tools
Professional appearance, positive attitude, and client-centric approach
Ability to work under pressure and meet deadlines in a dynamic environment
Working Hours
10:00 AM to 7:00 PM (Flexible based on Director's schedule and project needs)
