We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive support to our senior executive(s). The ideal candidate will be a dynamic problem solver with exceptional communication and time-management skills, capable of managing a wide range of responsibilities and prioritizing tasks in a fast-paced environment. This role is pivotal in ensuring smooth operations and enabling our leadership to focus on strategic initiatives.
Key Responsibilities
Calendar and Schedule Management:
Manage and prioritize complex calendars, schedule meetings and appointments, coordinate logistics across multiple time zones, and ensure the executive is well-prepared for all engagements.
Communication & Correspondence:
Act as the primary point of contact and gatekeeper. Screen calls, answer/screen emails, draft professional correspondence (memos, letters, reports), and manage information flow on behalf of the
Director
.
Travel and Events Coordination:
Plan and orchestrate detailed domestic and international travel itineraries, including booking flights, accommodations, and transportation. Coordinate corporate events, meetings, and offsite gatherings.
Document and Information Management:
Prepare and format reports, presentations (PowerPoint), and other corporate documents. Implement and maintain efficient electronic and paper filing systems, ensuring all sensitive information is handled with the utmost confidentiality.
Meeting Support:
Attend meetings, accurately record meeting minutes, track action items, and ensure timely follow-up on deliverables.
Financial & Administrative Support:
Process expense reports, manage invoices, assist with budget tracking, order office supplies, and oversee general office administration tasks.
Project Assistance:
Support special projects and initiatives, conduct research, compile data analysis, and assist with cross-departmental coordination.
Required Skills and Qualifications
Proven experience (typically 2+ years) as an Executive Assistant or in a similar administrative role reporting directly to Director's.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with modern productivity/collaboration tools (e.g., Google Workspace, Slack).
Exceptional organizational, time-management, and problem-solving skills with meticulous attention to detail.
Excellent written and verbal communication skills.
The candidate must have hands-on experience working with AI tools.
High degree of professionalism and demonstrated ability to maintain strict confidentiality and exercise sound judgment.
Ability to work independently, manage multiple concurrent projects, and adapt to changing priorities in a fast-paced environment.
Preferred Qualifications
Associate's or Bachelor's degree in Business Administration or a related field.
Preferred Experience in the Textile Industry sector.
?2-5 years of experience as an EA/PA or in a similar coordination role.
??Strong organizational and time-management skills.
??Excellent written and verbal communication (English + Hindi preferred).
??Tech-savvy (Google Workspace, MS Office, WhatsApp Business, CRM tools).
