Job Responsibilities:
Administrative Support:
Manage and maintain the Director's schedule, including appointments, meetings, and travel arrangements.
Handle day-to-day administrative tasks including filing, correspondence, and report preparation.
Draft, proofread, and edit emails, memos, reports, and presentations on behalf of the Director.
Communication Management:
Serve as the primary point of contact between the Director and internal/external stakeholders.
Handle incoming and outgoing communication efficiently and professionally.
Ensure timely follow-up on action items and pending correspondence.
Meeting Coordination:
Organize, prepare agendas, take minutes, and follow up on action points from meetings.
Coordinate logistics for internal and external meetings, conferences, and events.
Confidentiality & Professionalism:
Maintain confidentiality and discretion in handling sensitive company information.
Exercise sound judgment in managing priorities and time-sensitive matters.
Document & Data Management:
Prepare and organize reports, presentations, and documentation as required.
Maintain proper records, databases, and filing systems (both digital and physical).
Project Coordination:
Assist in monitoring progress of projects assigned by the Director.
Follow up with different departments or teams to ensure timely execution.
Travel & Expense Management:
Coordinate travel plans, itineraries, and hotel bookings for the Director.
Prepare travel expense reports and manage reimbursements accurately and timely.
Liaison & Relationship Management:
Build and maintain effective working relationships with internal departments and external clients/partners.
Act as a representative of the Director when required.
Key Skills Required:
Strong organizational and multitasking skills
High level of verbal and written communication skills
Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
Ability to work independently and handle pressure
Professional demeanor and proactive attitude
