The Executive Assistant to the Director provides high-level administrative support to the Director by managing schedules, preparing reports, handling correspondence, and coordinating meetings and travel. This role requires exceptional organizational skills, discretion, and the ability to interact with staff, clients, and stakeholders in a professional manner.
Key Responsibilities:
Calendar & Schedule Management:
Coordinate and manage the Director's calendar, schedule meetings, appointments, and travel.
Communication & Correspondence:
Draft, review, and manage internal and external communications, including emails, letters, and reports.
Meeting Support:
Prepare agendas, take minutes, and follow up on action items from meetings. Arrange logistics for internal and external meetings.
Travel & Logistics:
Plan and book domestic and international travel, including flights, hotels, transportation, and itineraries.
Project Coordination:
Assist with project tracking, compiling data, and providing administrative support for strategic initiatives.
Document Management:
Organize and maintain confidential files, records, and documents, both electronically and physically.
Stakeholder Liaison:
Act as a point of contact between the Director and internal/external stakeholders, ensuring timely and accurate communication.
Expense & Budget Support:
Process expense reports, track budget expenditures, and assist in financial documentation as required.
Requirements:
Bachelor's degree in Business Administration or a related field preferred.
Minimum of 3-5 years of experience supporting C-level executives or senior leadership.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
Discretion and confidentiality are essential.
Ability to multitask and work in a fast-paced environment.
Preferred Attributes:

Familiarity with tools like Google Workspace, Slack, Zoom, or project management software (e.g., Asana, Trello).
