The Executive Assistant to the Director provides high-level administrative, organizational, and operational support to ensure the efficient functioning of the Director's office. This role requires strong professionalism, confidentiality, excellent communication skills, and the ability to manage multiple tasks in a fast-paced environment. The Executive Assistant acts as a key liaison between the Director and internal/external stakeholders.
Key Responsibilities
1. Administrative Support
Manage the Director's calendar, schedule meetings, appointments, and travel arrangements.
Prepare, review, and organize documents, reports, presentations, and correspondence.
Maintain confidential records and files with a high level of discretion.
2. Communication & Coordination
Serve as the primary point of contact for internal teams, clients, and external partners on behalf of the Director.
Screen phone calls, emails, and requests; prioritize and redirect them as appropriate.
Draft professional emails, letters, minutes of meetings, memos, and other communication material.
3. Meeting & Event Management
Plan, coordinate, and execute meetings, including logistics, agendas, briefing materials, and follow-ups.
Record and distribute minutes of meetings and ensure timely completion of action points.
Support the Director in preparing for conferences, board meetings, and seminars.
4. Project & Operational Support
Assist in project tracking, research, and preparation of key documents for decision-making.
Coordinate cross-departmental activities and ensure deadlines are met.
Conduct background research and compile data for strategic initiatives.
5. Office & Team Support
Support administrative processes and ensure smooth office operations.
Coordinate with HR, Finance, and other departments for tasks assigned by the Director.
Handle expense reports, reimbursements, and office-related procurement where required.
Required Skills & Qualifications
Bachelor's degree in Business Administration, Management, or related field.
3-7 years of experience as an Executive Assistant, Personal Assistant, or similar administrative role.
Excellent organizational, time-management, and multitasking skills.
Strong verbal and written communication skills.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and digital productivity tools.
Ability to handle confidential information with integrity and discretion.
Professional demeanor and strong interpersonal skills.
Preferred Skills
Experience working with senior leadership or C-suite executives.
Knowledge of project management tools or CRM systems.
