We are looking for a smart, reliable, and highly organized
Executive Assistant
to support the operations by managing day-to-day coordination with the
factory
and relevant
stake holders
. The Executive Assistant will take ownership of tracking and completing operational, administrative, and compliance-related tasks that would otherwise require the direct attention of the Owner.
This is a high-responsibility role requiring strong follow-up skills, communication abilities, and discretion. The candidate must be proactive, hands-on, and capable of independently handling cross-functional coordination and external liaison work. The candidate must have analytical skills to enable making presentations, creating downtime reports, and also MIS for the data from the factory. The candidate will also have to be available to labour concerns and problems of any kind.
Key Responsibilities:
Factory Coordination
Serve as the point of contact between the Head Office and the factory management team.
Follow up on production schedules, quality control updates, logistics, and procurement issues.
Track factory-level tasks, issues, and projects, and ensure timely resolution or escalation.
Prepare concise updates and summaries for the Owner on factory operations.
Government & External Liaison
Coordinate with local and national government departments, regulatory bodies, and consultants on behalf of the Owner.
Track and follow up on licensing, inspections, compliance renewals, audits, legal notices, etc.
Maintain documentation and timelines for all statutory requirements.
Liaise with legal, financial, and compliance advisors when needed.
Executive Assistance
Maintain and track a central action list of tasks delegated by the Owner.
Follow up with internal and external stakeholders to ensure timely completion.
Organize reports, updates, and data in a way that aids quick decision-making by the Owner.
Attend meetings (if required), document minutes, and drive post-meeting follow-ups.
The candidate must have analytical skills to enable making presentations, creating downtime reports, and also MIS for the data from the factory.
The candidate will also have to be available to labour concerns and problems of any kind.
Desired Profile:
Education:
Bachelor's degree in Business Administration, Management, or relevant field.
Experience:
4-7 years of experience as an Executive Assistant, Operations Coordinator, or similar role.
Experience with factory operations or government liaison work is a
strong advantage
.
Skills:
Excellent written and verbal communication (English and local language)
Strong follow-up and coordination skills
High attention to detail and accountability
Familiarity with government compliance, regulatory documentation, and timelines
Strong working knowledge of MS Office / Google Workspace
Personal Attributes:
Self-driven and able to work with minimal supervision
High integrity and ability to handle confidential information
Problem-solving mindset
Ability to deal with senior stakeholders professionally
Willingness to travel occasionally to factory or government offices, if required
What Success Looks Like in This Role:
The Owner is free from routine follow-ups and administrative coordination.
All important government filings, factory updates, and critical deadlines are tracked and met.
Communication between the factory, HO, and external agencies runs smoothly and efficiently.
Tasks are executed without needing constant oversight or reminders.
