We are seeking a highly organized, confidential, and proactive
Executive Assistant (EA) to the Managing Director / CEO
. The role requires close coordination with top management, handling sensitive information, and supporting strategic and day-to-day operations of the plywood and laminates business.
Key Responsibilities1. Executive Support
Manage MD/CEO's daily schedule, meetings, appointments, and travel plans
Act as a point of contact between MD/CEO and internal/external stakeholders
Draft emails, letters, presentations, and reports on behalf of MD/CEO
Handle confidential documents and sensitive information with discretion
2. Communication & Coordination
Coordinate with sales, production, accounts, HR, and dispatch departments
Follow up on action items discussed in meetings and ensure closure
Screen calls, emails, and visitors for the MD/CEO
Coordinate meetings with dealers, architects, suppliers, and key clients
3. Business & Operational Support
Assist in preparing MIS reports, sales summaries, production updates, and review documents
Maintain records related to dealers, suppliers, pricing, and agreements
Support MD/CEO in strategic planning, reviews, and decision-making processes
Track deadlines and ensure timely execution of priorities
4. Documentation & Record Management
Maintain organized digital and physical filing systems
Prepare MOM (Minutes of Meeting) and circulate action points
Maintain confidential files such as contracts, pricing, and policies
5. Travel & Logistics
Arrange domestic travel, hotel bookings, and itineraries
Coordinate meetings during travel schedules
Handle expense records and reimbursements
Required Skills & Qualifications
Graduate / MBA preferred
2-6 years experience as Executive Assistant / Personal Assistant to senior management
Experience in
plywood, laminates, building materials, or manufacturing industry
preferred
Excellent communication skills (verbal & written)
Strong proficiency in MS Office (Excel, Word, PowerPoint)
High level of confidentiality, professionalism, and integrity
Strong time management and multitasking abilities
