Maintain and update the Director's daily task sheet.
Track progress, follow up with team members, and ensure timely completion of delegated tasks.
Monitor deadlines and deliverables while maintaining accountability across teams.
2. Communication & Scheduling
Manage the Director's calendar, schedule meetings/appointments, and handle calls and correspondence.
Draft, review, and respond to emails, letters, and internal notes in a professional manner.
Serve as the primary point of contact between the Director, staff, and external stakeholders.
3. Administrative & Personal Support
Provide end-to-end administrative and personal assistance, including travel arrangements, event coordination, and hospitality needs.
Oversee and supervise support staff (e.g., runner/office boy) for on-ground task execution.
Manage personal errands, bookings, and ad-hoc requirements as directed by the Director.
4. Office Operations & Coordination
Collaborate with internal departments to gather updates, reports, and necessary follow-ups.
Prepare documentation, presentations, and basic reports using MS Office (Word, Excel, PowerPoint).
Maintain organized digital and physical records, ensuring easy retrieval and confidentiality.
Conduct internet research and prepare briefing notes or summaries to support decision-making.
Requirements & Skills:
Proven experience as an Executive Assistant, Personal Assistant, or similar role.
Strong organizational and multitasking abilities with attention to detail.
Excellent verbal and written communication skills.
Proficiency in MS Office (Word, Excel, PowerPoint) and email management.
Ability to maintain discretion and handle confidential information.
Flexible, proactive, and resourceful in handling both professional and personal assignments.
