We're looking for an Executive Assistant who is organised, proactive, and excited to help build a brand from the ground up.

Role Overview



The Executive Assistant will support the Founder in day-to-day operations, scheduling, coordination, and ensuring smooth functioning across projects. This role is ideal for someone who loves organisation, communication, problem-solving, and thrives in a dynamic startup environment.

You will work closely with the Founder and external teams (designers, vendors, agencies, manufacturers) and play a key role in keeping the business running efficiently.

Key ResponsibilitiesAdministrative & Founder Support



Manage daily schedules, meetings, reminders, and follow-ups for the Founder. Maintain calendars, prioritise tasks, and ensure the Founder stays on track with deadlines. Coordinate communication with internal and external stakeholders.

Operations & Coordination



Assist with vendor coordination (packaging, manufacturing, logistics, etc.). Help organise and maintain project documentation, files, and trackers. Prepare and summarise notes from meetings, calls, and discussions.

Project Management



Support ongoing brand and product development projects. Track progress of key tasks and ensure action items are completed on time. Follow up with team members, vendors, and partners when required.

Miscellaneous



Support the Founder with general office organisation, event coordination, and small personal admin tasks when needed. Assist during shoots, pop-ups, or brand events (as required). Conduct basic research for upcoming brand decisions, projects, or collaborations.

What We're Looking For



Strong organisational and time-management skills. Excellent written and verbal communication. Proactive problem-solver with a "figure it out" mindset. Comfortable wearing multiple hats in a startup environment. Ability to handle confidentiality with maturity. Good with Google Workspace (Docs, Sheets, Calendar). A positive, reliable, and calm presence who enjoys supporting others.

Bonus (not mandatory):



Prior experience in beauty, fashion, media, or consumer startups. Basic knowledge of social media or content coordination.
