Job Summary: We are seeking a highly organized, resourceful, and discreet Executive Assistant to provide direct support to the CEO. This is a key role responsible for maximizing productivity by managing schedules, communications, strategic follow-ups, and ensuring seamless execution of high-priority initiatives. The ideal candidate thrives in a fast-paced environment, exercises excellent judgment, and maintains the highest level of professionalism and confidentiality. Key Responsibilities: oCalendar & Schedule Management: Own the promoter's calendar--prioritize meetings, coordinate across departments, and protect focus time. oCommunication & Correspondence: Draft, edit, and manage internal and external communications, including emails, reports, and presentations. oMeeting Coordination: Prepare briefing materials, agendas, and minutes for executive meetings, board meetings, and offsites. oTravel & Logistics: Plan and manage complex travel itineraries, including flights, hotels, ground transport, and expense reports. oExecutive Operations: Act as gatekeeper and liaison--manage information flow, screen inquiries, and prioritize requests for their attention. oProject Support: Assist with follow-up on strategic initiatives, track action items, and help ensure timely execution. oStakeholder Engagement: Interface with investors, board members, clients, and senior leadership on behalf of the promoters with professionalism. oConfidential Support: Handle confidential business and personal matters with discretion and sound judgment. Requirements: oBachelor's degree preferred. o5+ years as an Executive Assistant, with at least 2 years supporting a C-level executive (preferably a CEO or Founder). oExceptional organizational and time-management skills. oStrong communication skills--written, verbal, and interpersonal. oHigh proficiency with Google Workspace or Microsoft Office Suite, and tools like Zoom, Google meets, other social media. oProven ability to manage competing priorities and stay calm under pressure. oAbsolute discretion and integrity in handling sensitive information. Preferred Attributes: o Experience in a high-growth startup or fast-paced corporate environment. o Understanding of business operations and executive priorities. o Anticipates needs and acts with minimal direction. o High emotional intelligence (EQ) and a proactive mindset. o Willingness to occasionally work outside standard hours as and when needed.
