We are seeking a proactive, detail-oriented, and highly organized Executive Assistant to support the CEO of vTech Solution. The ideal candidate will serve as an extension of the CEO, managing daily priorities, ensuring seamless communication, and driving operational efficiency. This role requires exceptional professionalism, confidentiality, and the ability to work in a fast-paced, US-oriented business environment.
Key Responsibilities1. Executive Support & Coordination
Manage and prioritize the CEO's daily schedule, calendar, meetings, and appointments.
Coordinate internal and external meetings, ensuring all logistics, agendas, and materials are prepared.
Act as a primary point of contact between the CEO and stakeholders (internal teams, clients, partners).
2. Communication & Documentation
Draft, review, and proofread emails, reports, presentations, and business documents on behalf of the CEO.
Maintain accurate records, documentation, meeting minutes, and follow-ups.
3. Operational & Administrative Support
Track action items, ensure timely completion, and proactively remind stakeholders of deadlines.
Prepare daily/weekly briefings for the CEO to support decision-making.
Handle travel arrangements, itineraries, and expense management (when required).
4. Business Coordination
Assist in managing strategic initiatives and cross-departmental projects.
Support CEO's involvement in client interactions, business meetings, and corporate events.
Coordinate with HR, Finance, Sales, and Operations teams to gather updates and provide summaries to the CEO.
5. Confidentiality & Professional Conduct
Maintain strict confidentiality of sensitive information.
Uphold professionalism in communication and ensure executive-level discretion.
Required Skills & Qualifications
Bachelor's degree in Business Administration, Management, Communications, or related field.
3-6 years of experience as an Executive Assistant, EA to C-level, or similar support role.
Excellent written and verbal communication skills.
Strong organizational and multitasking capabilities.
Proficiency with MS Office Suite, Google Workspace, and Zoom/Teams.
Ability to work independently, manage pressure, and operate efficiently in a US shift.
High level of discretion, integrity, and decision-making ability.
Preferred Qualifications
Experience in IT services, staffing, or consulting industries.
Exposure to working with US clients, executives, or leadership teams.
Strong analytical and reporting skills.
