Job Description

Key Responsibilities



Executive Support & Calendar Management



Manage complex calendars

by scheduling and coordinating meetings, appointments, and events, including managing scheduling conflicts and ensuring the executive's time is optimized.

Act as a professional gatekeeper

and liaison between the executive and internal/external stakeholders, screening and prioritizing communication (emails, phone calls, and visitors).

Coordinate extensive domestic and international travel logistics

, including flights, accommodations, ground transportation, and creating detailed itineraries.

Prepare and submit detailed expense reports

and manage vendor invoices in a timely manner.

Communication & Document Management



Draft, proofread, and edit

professional correspondence, reports, presentations, and internal communications on behalf of the executive.

Prepare meeting agendas, collect necessary materials

, attend meetings as requested, and accurately record/distribute meeting minutes and follow-up on action items.

Maintain an organized and confidential filing system

(both physical and electronic) for all sensitive company and executive documents.

Office & Project Management



Assist in special projects

as needed, including research, data compilation, and summary report creation for strategic decision-making.

Oversee general office administration

duties, such as managing office supplies, coordinating equipment maintenance, and ensuring the executive office runs smoothly.

Handle confidential information

and sensitive matters with the utmost discretion, professionalism, and integrity.

Required Skills and Qualifications



Proven experience

(e.g., 3+ years) as an Executive Assistant, Personal Assistant, or other relevant administrative support role, ideally supporting C-Level executives.

Exceptional organizational and time-management skills

, with a demonstrated ability to multitask and prioritize a dynamic workload effectively.

Excellent written and verbal communication skills

, with a polished and professional demeanor.

High proficiency in Microsoft Office Suite

(Outlook, Word, Excel, PowerPoint) and experience with calendar and video conferencing tools (e.g., Google Workspace, Zoom, Microsoft Teams).

Proactive problem-solver

with the ability to anticipate needs and act independently.

High school diploma

required; Associate's or Bachelor's degree in Business Administration or a related field is preferred.
