The role involves handling day-to-day administrative tasks, managing communication, coordinating travel arrangements, maintaining staff records, and ensuring smooth office operations.
Key Responsibilities:
Manage and maintain the
Director's daily agenda
, schedule meetings, and prepare necessary documents.
Handle
administrative operations
and general office coordination.
Maintain and monitor
staff attendance
and related HR documentation.
Communicate with visitors, clients, and staff --
inform the Director of appointments and visitors
.
Prepare and process
invoices in Zoho Books
.
Manage
fund transfers and petty cash records
as per company policy.
Arrange
flight and train bookings
for the Director and staff.
Draft official correspondence, meeting notes, and reports when required.
Coordinate with different departments to ensure timely completion of assigned tasks.
Maintain confidentiality and handle sensitive information with discretion.
Qualifications & Skills:
Bachelor's Degree in Business Administration or related field.
Minimum 2-4 years of experience as an Executive Assistant or in a similar administrative role.
Proficiency in
Zoho Books, MS Office (Word, Excel, Outlook)
, and general computer operations.
Excellent communication and organizational skills.
Ability to multitask and work efficiently under minimal supervision.
Attention to detail, professionalism, and confidentiality are essential.
