Position OverviewSeeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior executives in a fast-paced commercial real estate environment. This role requires exceptional calendar management skills, discretion, and the ability to anticipate leadership needs while managing multiple priorities.

Key ResponsibilitiesCalendar & Schedule ManagementStrategic Calendar Planning: Coordinate complex schedules across multiple time zones, prioritizing high-impact meetings and strategic initiatives

Meeting Coordination:

Schedule internal/external meetings, client presentations, board meetings, and industry events

Travel Integration:

Seamlessly incorporate travel schedules, allowing for preparation time and time zone adjustments

Conflict Resolution:

Proactively identify and resolve scheduling conflicts, proposing alternative solutions

Meeting Preparation:

Prepare agendas, briefing materials, and ensure all necessary resources are available

Administrative ExcellenceCommunication Management:

Screen and prioritize emails, calls, and correspondence

Document Preparation:

Create presentations, reports, and executive communications

Expense Management:

Process expense reports and manage budgets for executive activities

Confidentiality:

Handle sensitive information with utmost discretion and professionalism

Stakeholder CoordinationInternal Liaison:

Coordinate with various departments, teams, and regional offices

Client Relations:

Interact professionally with high-profile clients, investors, and industry partners

Board Support:

Assist with board meeting preparations and follow-up activities

Required QualificationsBachelor's degree preferred

5+ years of executive assistant experience, preferably in CRE, finance, or professional services

Advanced proficiency in calendar management systems (Outlook, Google Calendar)

Excellent written and verbal communication skills

Strong attention to detail and organizational abilities

Ability to work independently and handle confidential information

Preferred SkillsExperience with CRE industry terminology and processes

Project management capabilities

Proficiency in presentation software and document management systems
