Job Title: EA to Founder's/Director's Office Exp: 3-6 Years (Similar role) Education: Graduate (Business Administration/Management/Operations) Budget: 35K CTC/Month Age: 28-38 Years Key Roles & Responsibilities: 1. Executive Support & Coordination o Manage the Founder's daily calendar, schedule meetings, and coordinate appointments efficiently. o Handle emails, calls, and correspondence on behalf of the Founder with discretion and accuracy. o Prepare meeting agendas, presentations, and reports for internal and external meetings. o Record and circulate minutes of meetings, ensuring follow-ups and action points are completed on time. o Coordinate travel arrangements, logistics, and itineraries for business trips and events. o Handle the travel desk and perform other required administrative activities. 2. Strategic & Operational Support o Work closely with cross-functional teams (Operations, HR, Finance, Fleet, and Legal) to track strategic projects and ensure timely completion. o Assist in monitoring company performance metrics and preparing business reviews or dashboards for management. o Support the Founder in decision-making by conducting market research, data compilation, and business analysis as required. o Maintain documentation of business plans, reports, and confidential company records. 3. Communication & Liaison o Act as the single point of contact between the Founder's Office and all internal departments. o Liaise professionally with clients, partners, vendors, and other stakeholders on behalf of the Founder. o Draft, review, and manage professional communications, letters, and proposals. 4. Confidentiality & Governance o Maintain absolute confidentiality of sensitive business, financial, and personal information. o Ensure that all activities and documentation comply with company policies and legal requirements. o Handle confidential HR and operational documents with utmost care and professionalism. 5. Project Management o Track and report progress of key initiatives driven by the Founder's Office. o Identify gaps, dependencies, and areas of improvement, and proactively suggest actionable solutions. o Coordinate with various departments to ensure smooth execution of business priorities. Qualifications & Experience: o Bachelor's Degree in Business Administration, Management, or related field. o 3-6 years of experience as an Executive Assistant, EA to Founders/CEOs, or in a similar strategic coordination role. o Proficiency in MS Office Suite (Excel, PowerPoint, Word), Google Workspace, and project management tools (e.g., Asana, Trello, Notion) is a plus. o Excellent written and verbal communication skills in Gujarati, English and Hindi. o Strong organizational, time management, and multitasking abilities. o High emotional intelligence, professionalism, and discretion in handling confidential information. o Background in logistics, EV, startup, or operations-driven companies will be an added advantage.
