The Executive Assistant / Secretary will provide comprehensive administrative, operational, and financial coordination support to senior management. This role requires a proactive individual who can efficiently manage executive schedules, office operations, and handle basic accounting responsibilities, including TDS-related documentation and vendor payments.
The ideal candidate is highly organized, detail-oriented, and possesses strong multitasking and communication skills.
Key Responsibilities
Manage executive calendars, meetings, travel itineraries, and appointments.
Draft, review, and manage official correspondence, reports, and presentations.
Serve as the communication link between senior management, internal teams, and external partners.
Handle confidential information and documentation with discretion.
Prepare meeting agendas, record minutes, and track follow-ups.
Operations & Administration
Oversee daily office operations and ensure smooth coordination across departments.
Handle procurement, vendor management, and office supply inventory.
Liaise with service providers for maintenance, travel, and administrative requirements.
Support HR and admin processes like attendance tracking, onboarding, and employee records.
Maintain documentation, records, and filing systems (digital and physical).
Assist in planning company events, meetings, and logistics.
Finance & Accounting Support
Handle basic accounting tasks such as data entry, expense tracking, and petty cash management.
Coordinate with finance teams for invoice processing and payment follow-ups.
Prepare and maintain vendor payment details and ensure timely TDS deductions and compliance.
Maintain records of TDS challans, vendor invoices, and related financial documentation.
Liaise with external accountants or auditors for financial information and document sharing.
Qualifications & Skills
Bachelor's degree in Business Administration, Commerce, or a related field.
3-6 years of experience as an Executive Assistant, Secretary, or Office Administrator.
Working knowledge of basic finance and accounting principles, including TDS.
Strong organizational and multitasking abilities with excellent attention to detail.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and basic accounting tools (e.g., Tally, Excel-based MIS).
Excellent communication and interpersonal skills.
Ability to maintain confidentiality and handle sensitive information responsibly.
Positive attitude, initiative, and ability to work independently under minimal supervision.
