The Executive Assistant will provide high-level administrative support to senior executives in a fast-paced manufacturing environment. This role requires excellent organisational skills, confidentiality, and the ability to manage multiple priorities efficiently while understanding the dynamics of a manufacturing setup.
Key Responsibilities
1. Executive Support & Coordination
Manage the Managing Director's (MD's) daily schedule, meetings, appointments, and travel plans.
Coordinate high-level internal and external meetings, prepare agendas, and record minutes.
Act as a point of contact between the MD and employees, clients, and external stakeholders.
Organise and streamline daily priorities to ensure the MD's time is optimally utilized.
2. Communication & Correspondence
Draft, review, and organize emails, letters, and communication on behalf of the MD.
Maintain confidentiality of all sensitive and strategic information.
Follow up on pending tasks, communications, and commitments to ensure timely completion.
3. Administrative Management
Prepare reports, presentations, and documentation required for review by the MD.
Manage office files, digital records, and documentation in an organized and easily retrievable manner.
Assist with data entry, internal coordination, and administrative tasks as needed.
4. Meeting & Event Coordination
Arrange logistics for meetings, conferences, and team gatherings.
Coordinate guest visits, hospitality arrangements, and inter-departmental meetings.
5. Task Tracking & Follow-Through
Track progress of assigned projects or tasks and provide timely updates to the MD.
Follow up with departments on deadlines, deliverables, and action items.
6. Professional Representation
Represent the MD with professionalism in interactions with staff, vendors, and clients.
Maintain a calm, approachable, and solution-oriented attitude in a dynamic environment.
Educational Background
Graduate in any discipline (mandatory).
Experience Preference:
Open to candidates without prior Executive Assistant experience.
